Employee and Business Communication - Easy and Effective Tips That Work
Author:
Barbara Filla
Communication is a vital concern to managers. Improving communication leads to better employee teamwork and performance. The right communication up, down, and throughout the business is the best way to motivate employee teams and deliver results.
Communication involves more than verbal skills. For employees, communication is much more than the words and presentation style. In a study, 91% said that nonverbal communication was important or very important.
Respecting Employees
Lets begin with how close is comfortable for an employee conversation. Personal space varies. Start with this guideline and adjust the distance between you and an employee. Observe the employees body language when you are about eight feet away - in the social space. Do they lean in? You should move closer. This is one way to show respect to employees, peers, and superiors.
Communication has three basic stages. Begin with a greeting, move into the discussion, and end cleanly. Greetings set up status and attitude. With employees, dont be over bearing with your management status. With all employees and peers, communicate with a positive attitude (we will get into this later). Close smoothly. Make sure the other person has a chance to speak and the discussion is completed. These simple and respectful efforts will be rewarded with more satisfied employees and open dialog that all businesses need to be successful.
Crucial Business Communication
Success comes when the right person has the right information at the right time. A managers role is making sure this happens. Employees need information to do quality work and to know what is important to the business.
The business owner should have a clear company vision and goals that all employees
strive towards. Write down the vision and goals for employees to reference. The owner and all managers should reinforce the vision and goals.
Pass on information and decisions to employees. Share business results both up and down the business structure. Include financial data, general business information, progress towards goals, and project information. Your boss needs this information, as well as peer managers, and employees. Employees need to share project information with their peers and you. Set an example by sharing project status with other managers and employees outside of your group. A well-informed employee is empowered to make the right decisions that meet customer needs. That brings repeat business.
Employee Communication
A main goal of employee communication is employee team building. Clearly describe the business strategy, over and over and over again. Employees need goals supporting the strategy. Repeat it until it is rooted in employee culture. When the message changes, tell employees why it changed.
What to communicate about change:
What you want employees to do.
Address likely employee objections.
Make a strong case for change.
Be factual with employees, dont exaggerate.
Be specific, show how change is better.
Be reliable, provide employees feedback and progress reports.
Use emotional appeal, convince employees to be part of the change.
Decisions, Decisions, DecisionsBetter Decisions
Making the right decisions is the responsibility of both managers and employees. Some means are better than others for persuading and reaching decisions. Persuading employees and colleagues about a decision can at times be difficult. Be familiar with the ways people digest information.
About 75% of American managers are the judging type - get the main point out early. A full 80% of American managers are thinking types talk business facts.
Positive Talk
Management should strive to communicate in a positive attitude. Listening to employees is a positive step. Employees have information that you need to know. Learn what clients are saying and where the trouble spots are in the business. Careful listening helps solve problems earlier and employees often offer solutions you might never consider.
